Settings — Regulator Reports

The Settings ▸ Regulator Reports page is a launcher. It gathers the three trust reports a law society is most likely to ask for and links each one into the place it actually runs: Settings ▸ Accounting ▸ Reports.

Nothing is configured here and nothing is stored here. The page exists because “which report do I give the regulator?” is a compliance question, not an accounting question — so the three answers sit in the compliance area, while the reports themselves stay in one place with the rest of the financial statements.

Each row opens the corresponding report in Settings ▸ Accounting ▸ Reports, with that report already selected. Set the period there, read the result, and export to CSV or PDF from the report’s own export control.

The monthly reconciliation: for a chosen month-end, the trust bank balance is compared against the total of every client’s trust ledger. The two must agree.

When they don’t, the comparison surfaces the variance rather than hiding it — a trust shortfall is exactly the condition the report is meant to expose. Investigate the difference before filing anything.

The client-by-client listing of trust money held as of a date, with a footer that ties total client trust liability to the trust bank accounts. It can be pivoted per trust-liability account, by client, or by matter; the grand total is identical across pivots, which is itself an audit check.

This is the same report documented at Settings ▸ Accounting ▸ Reports ▸ Trust Listing — the Regulator Reports row is a shortcut to it, not a second copy.

The firm-level annual trust report, run against a fiscal year end. The fiscal year end comes from your organization’s configured fiscal year-end (default December 31).

The report carries a deliberately jurisdiction-neutral name. Regulators call their own version of this filing different things, and the form number is not the same everywhere — see Trust accounting standards for the governing rule in each Canadian province and territory, and for why the screens avoid naming themselves after a single jurisdiction’s form.

None of the three is a stored snapshot. Every run recomputes from your posted journal entries at the moment you open it:

  • Draft and reversed journal entries are excluded.
  • A correction posted this morning is reflected in a report run this afternoon.
  • Two runs over the same period return the same numbers only if no entries changed in between — which is why you export and keep the file you actually filed.

Because the reports are derived, there is nothing to “regenerate” and nothing to keep in sync. Fix the ledger and the report follows.

A negative client trust balance and an unreconciled comparison are both conditions to resolve before filing, not to explain afterward.
